BOP Program Statement 1605.01 § 7
EXTERNAL AGENCY COMMUNICATION
a. Notification. The SA ensures notification is made to the Chief, Environmental Protection
section copying the Warden, Regional Director, and RSA on the communication when:
An outside visit or inspection related to environmental protection is scheduled and/or
conducted at their institution.
There are EPA and/or state complaints.
There are EPA and/or state regulatory inquiries.
There are environmental spills.
b. Reporting. The SA must complete a Record of Contact (ROC) for all non-written external
agency communication. A copy of any report (i.e., ROC, email, or hard-copy letter) must be
forwarded to the COSH, RSA, and Chief, Environmental Protection within 48 hours of receipt.
